# GeoNordic employee policy for new starters

> **Fictional workshop policy.** These rules belong to the invented company
> GeoNordic. Your individual agreement takes precedence. If individual terms
> are missing, ask People Operations rather than assuming an entitlement.

## Your individual terms

Your offer or employment agreement states your employment form, start date,
work location, percentage, working hours, notice terms, salary, and personal
benefits. This page gives the fictional GeoNordic baseline and the request
routes; it does not replace those individual terms. Project assignments can
change without changing your employment agreement.

## Working hours and flex

For this exercise, full-time baseline hours are **40 hours per week, Monday to
Friday**. Your agreement controls if you are part-time or have a different
schedule. The flex window is **07:00–19:00 in the local time of your assigned
office**. Teams agree their hand-off times with their manager. Everyone must
be reachable during the core window **09:00–15:00 local time**, unless the
manager has approved an exception. Record working time in the team’s agreed
system; ask your manager which system your team uses.

## Working from home

Where the role and work permit it, you may work remotely **up to two regular
days per week**. Remote work is an arrangement, not an automatic individual
right:

1. Agree the days with your manager before putting them in the calendar.
2. Your manager publishes the team’s expected office-presence days by the
   previous Friday. Attend those days, customer or partner meetings,
   demonstrations, and safety-critical sessions in person unless the manager
   agrees another arrangement.
3. On a remote day, be online and reachable during **09:00–15:00 local time**,
   answer team messages within **30 minutes** during that window, and keep the
   same agreed working hours and delivery commitments.
4. Use the company laptop and approved GeoNordic systems. Do not save company
   material on a personal device. Request a monitor or other home-office
   equipment from **Sami Rautio, IT Manager**, through your manager.

The manager decides whether a particular role or day is suitable for remote
work. If a customer, safety, or delivery need changes the plan, the manager
may require office presence and will explain the change.

## Vacation

The fictional full-time baseline is **25 paid vacation days per policy year**.
Your offer, contract, or approved written arrangement controls your actual
allowance. If your documents do not state a number, answer “not specified” and
ask Hanna Solum; do not assume that the baseline applies to you.

To request vacation, email the dates to your manager and copy **Hanna Solum**.
Submit the request at least **10 working days in advance where practical**.
The manager checks team coverage and must approve the request before you book
travel or treat the days as approved. Hanna records the approved dates. A
request is not an approval.

Up to **five unused baseline days** may be carried into the next policy year
only when the manager and Hanna approve that in writing before the year ends.
An individual agreement may set another rule; this page does not create a
right to carry days forward.

## Sickness and other leave

If you are sick, email your manager and Hanna **before your normal start time
on the first day**, or as soon as you can. You do not need to include a
diagnosis. Say that you are absent and when you expect to provide the next
update. Send an update by **15:00 each absent day** if the expected return
changes. The manager records team coverage; Hanna handles questions about
individual terms.

For another absence—such as a medical appointment, care or family emergency,
study, civic duty, or compassionate leave—ask your manager and Hanna before
booking it where possible. State the dates and whether you need paid or unpaid
leave. Written approval is required before treating the absence as approved.
This exercise page does not promise that any category is paid or available to
every employee; your agreement and the written decision from People
Operations control.

## Equipment, expenses, and other benefits

The fictional baseline support for every new starter is a company laptop and
GeoNordic Hub access. **Sami Rautio (IT Manager)** is the equipment contact;
the new-starter guide says to collect the laptop and Hub login from IT.
Role-specific or home-office equipment needs manager approval before IT orders
it.

For this exercise, GeoNordic also offers an **approved learning allowance of
up to SEK 5,000 per policy year** and reimburses **pre-approved business
expenses** when receipts are submitted through the team’s Finance route.
These are fictional baseline rules: your individual documents may differ, and
this page does not promise a pension, insurance, bonus, or any other benefit it
does not list. Ask **Hanna Solum** about individual benefits and **Leona Vik,
Chief Financial Officer**, about an approved expense route.

## Who to ask

- **Hanna Solum — Head of People**: individual employment terms, vacation,
  sickness, other leave, benefits, and remote-work arrangements.
- **Your manager**: your schedule, team office-presence days, delivery needs,
  and approval of requests.
- **Sami Rautio — IT Manager**: laptop, GeoNordic Hub login, and approved
  equipment.
- **Leona Vik — Chief Financial Officer**: the Finance route for approved
  business expenses.

Hanna is the People Operations contact for new starters and the directory
lists her at `hanna.solum@geonordic.invalid`. The directory lists Sami at
`sami.rautio@geonordic.invalid`. Use those fictional workshop addresses only.
